Exhibitors

General Information

LIMITED exhibit space is available in the HUB-Robeson Center and will be assigned as the appropriate registration documents and payment are received. Interested companies are encouraged to reserve their exhibit table as soon as possible. EARLY registration (before May 31, 2013) is advised. Shipping information and other instructions will be provided in the spring. Exhibit registrations received after June 28 will not be accommodated.

Deadline

All registrations must be received by 5:00 p.m. EST on June 28.

Confirmation

Penn State Conferences will confirm your registration. You will be alerted promptly of any cancellations or changes. If some unforeseen event forces Penn State to cancel or postpone the program, you will receive a full refund of your registration fee; however, the University cannot be held responsible for any related costs, including cancellation fees assessed by airlines or travel agencies.

Refunds

If your request to withdraw is received at least 15 business days prior to the first day of the conference, we can issue a partial refund. Send your written request by fax to 814-863-5190 or by email to ConferenceInfo1@outreach.psu.edu. A $50 administrative fee will be charged for each withdrawal. Anyone who is registered but cannot attend may send a substitute.

Access

Penn State encourages persons with disabilities to participate in its programs and activities. If you anticipate needing special accommodations or have questions about the physical access provided, please contact the conference planner at 814-863-5100 at least two weeks prior to the conference.

Publishers

General Information

Publishers have two opportunities to provide materials to participants of ASV 2013.

  • Display Materials — A small display area for advertising materials from publishers will be set up in a high visibility area in the HUB-Robeson Center, where materials can be picked up by ASV participants.
  • Materials Inserted in Participant Bags — Publishers can provide materials to be inserted into the bags that participants receive at registration check-in.

Shipping Publisher Materials

Materials should arrive by Friday, June 28, 2013, but not before June 25. Materials to be inserted into participant bags need to be of sufficient quantity (1,600).

Publisher Fees

There are two levels of publisher fees: Preferred Publishers and Other Publishers.

Eligible preferred publishers are:

  • Bentham Science Publishers Ltd.
  • Elsevier Science
  • Future Science Group
  • International Medical Press
  • Karger Publishers, Inc.
  • Lippincott Williams & Wilkins
  • Nature Publishing Group
  • Wiley-Blackwell Publishing

Preferred Publisher Fees

There is no charge for preferred publishers to send small quantities of brochures for browsing and selective pickup. The fee for inserting items from preferred publishers into the participant bags is $100 per item.

Other Publisher Fees

The fee for other publishers to send small quantities of brochures for browsing and selective pickup is $50 per item. The fee for inserting items from other publishers into the participant bags is $200 per item.
